The Volunteer Program Manager is responsible for the recruitment, training, supervision, and recognition of adult and teen volunteers, service groups, and interns for Ronald McDonald House Charities of South Florida (RMHC). This role plays a critical part in ensuring the effective, efficient operation of the House and its programs. The position also supports the Development and Events Department by coordinating volunteer needs for fundraising and community events.
Volunteer Services
• Lead the strategic direction and daily managements of the volunteer program ensuring it meets the evolving needs of the House and its events.
• Responsible for securing, training, scheduling and supervising diverse volunteer base, including individual volunteers, corporate and community service groups, student interns and special event participants.
• Oversee program standards and policies for all volunteers. Conduct background checks and ensure all volunteers complete orientation and training prior to service.
• Develop and implement volunteer retention and yearly recognition strategies and programs.
• Work with House Operations team in developing marketing materials to enhance visibility and engagement regarding volunteer opportunities.
Meals from the Heart and Activities program
• Oversee the Meals from the Heart program, ensuring families receive daily, nourishing meals provided by volunteers, community groups or restaurants.
• Manage the program calendar and coordinate with volunteer groups to schedule lunch, or dinner offerings seven days of the week.
• Proactively identify open dates on the meal calendar and reach out to local organizations, businesses, and individual donors to secure meal sponsorships or in-kind support.
• Maintain regular communication with meal volunteers to confirm logistics, group size, dietary guidelines, kitchen procedures, and arrival times.
• Ensure all meals follow proper food safety and hygiene standards, including kitchen cleanliness and allergen awareness.
• Welcome and support volunteer groups on-site, providing orientation and supplies needed for meal preparation and service.
• Track meal service data, including number of meals served and volunteer hours, and include this in program reports and donor recognition effort
• Assist Operations team in securing wish list items for the meals program: gloves, nets, utensils, paper plates, etc.
Hospitality a la Carte
• Coordinate and supervise the Hospitality À La Carte program, which provides snacks, beverages, and comfort items to families inside Holtz Children’s Hospital and UM / Alex’s place.
• Organize and train volunteers to staff the hospitality cart and deliver services with compassion and consistency.
• Maintain inventory of snacks, beverages, and supplies, ensuring carts are wellstocked and items are replenished regularly.
• Collaborate with hospital staff to identify optimal times, locations, and procedures for cart distribution.
• Ensure that health and safety guidelines are followed in the storage, transport, and distribution of food items.
• Track participation, volunteer hours, and impact data for reporting purposes.
• Engage donors and in-kind contributors to sustain inventory through community outreach or internal campaigns
Special Events
• Works with Events Manager in securing volunteers for signature events such as 12 Good Men, Pickleball, Clays for a Cause and Home for the Holidays
• Secure volunteers for third party fundraisers, as needed
Office and Communications
• Oversee and tracks the volunteer program budget to ensure expenditures align with allocated funds.
• Maintain accurate records of volunteer applications and hours in database Arreva, including individual, house dinners, activities, group and outside events.
• Responsible for mailing or email thank you letters to volunteers and groups after donating time or services to the charity. • Attend and participate in monthly staff meetings.
• Responsible for preparation, write up, editing and content on quarterly volunteer enewsletter. Executive Director to provide final approval.
• Prepare data reports as needed by the Executive Director and the Board of Directors for meetings and annual impact reports.
Qualifications:
• Bachelor’s degree in communications, Public Relations, Non-profit Management or Hospitality
• Minimum two years of experience in volunteer coordination or event planning, preferably in the non-profit setting.
• Proven leadership and supervisory experience
• Strong written and verbal communication skills
• Highly organized, detail oriented and able to manage multiple projects.
• Proficient with computers and volunteer management databases
• Flexible, proactive and collaborative team player.
Working conditions
• Must be comfortable walking, standing and navigating in the facility and on medical campus.
• Occasional bending, reaching, and carrying boxes or equipment.
• Seating at a computer station.
• Occasional travel within South Florida for volunteer fairs or community outreach. Gas reimbursement is provided. • Collaborative mission driven environment where flexibility, positivity and initiative are valued.

• Annual salary
• Medical insurance fully paid for employee only, includes dental and prescription
• 10 vacation days after one year of employment. Five sick days and two personal days.
• Eleven paid Federal holidays
